Synchronization Options

By using the Plugin, the following data may be synchronized from QuickBooks Online with IntelliTrack:

Important: For best results, before syncing data with the Plugin, the configuration options, QuickBooks Online settings, and IntelliTrack settings should be in place.

Auto Synchronization

The Plugin will automatically sync this data at a specified interval if you set an auto sync interval. You may also sync the data manually at the Synchronization tab.

Manual Synchronization

Data may be manually synchronized via the Plugin. This is useful when initially setting up the dataset between IntelliTrack and QuickBooks or if you need to verify that the data is in sync while working with the inventory and orders in IntelliTrack and QuickBooks.

Warning: We recommend adding or editing item, customer, and vendor data in QuickBooks Online only. When you add or edit this information in IntelliTrack, it will become out-of-sync with QuickBooks Online.

  1. The data is manually synchronized at the Synchronization tab.
  2. Select the Synchronization tab to bring it to the front.

  1. By using the Plugin, the following data may be synchronized from QuickBooks Online with IntelliTrack: inventory items, vendors, receiving orders, customers, and picking orders. The inventory data is imported from QuickBooks Online into IntelliTrack. The inventory adjustments are exported from IntelliTrack to QuickBooks Online.
  2. To synchronize data, import the inventory, or export inventory adjustments via the Synchronization tab, click the applicable button.
  3. The status bar along the bottom of the Plugin notifies you when the import is complete.

QuickBooks Online Synchronization Options

Description

Synchronize Items

Click to manually import QuickBooks Online inventory part items into IntelliTrack. The inventory part items will be imported into IntelliTrack. They are placed in the Item list for the selected division at the Manage Items page.

  • Item Number: correlates to the QuickBooks Online Name field for the item.
  • If an inventory part type item is a sub part in QuickBooks, the item sub part will import into IntelliTrack in this format: Part Number: Sub Part Number.
  • If an item is inactive, it is imported into IntelliTrack as an inactive item.
  • If an item is marked inactive after it is imported into IntelliTrack, the item’s status will be updated in IntelliTrack the next time the data syncs. When the item’s status is changed from active to inactive in IntelliTrack, an inventory adjustment is also performed, which adjusts the inventory for this item to zero.
  • Item Description: correlates to the QuickBooks Online Purchasing Information field for the item.
  • The item uses the default unit of measure set in the Basic Configuration tab. The each count is always 1.
  • Reorder points, as configured in QuickBooks Online are imported for the default site if the IntelliTrack site uses Reorder Points (the Min Max Values for a site.) When importing item reorder points, the item’s minimum quantity is set to 1, the item’s reorder quantity, and the item’s maximum quantity are set according to the Reorder Point in QuickBooks Online.
Import Inventory

Click to import QuickBooks Online inventory for the inventory part items into IntelliTrack. The inventory items are sent to IntelliTrack and may be found at the Inventory Data page.

  • The inventory will be placed in the Division-Site-Location selected in the Basic Configuration tab\IntelliTrack Settings.
  • Inventory should only be imported into IntelliTrack one time, to set up the initial inventory dataset between IntelliTrack and QuickBooks Online.
  • Inventory for an inactive item is not imported.
  • If the Auto Delete Inventory Records With 0 Quantity is ON for the site, inventory records with 0 quantity will not be imported into IntelliTrack.
Export Inventory Adjustments

Click to export inventory adjustments for inventory part items from IntelliTrack to QuickBooks Online.

Synchronize Vendors

Click to manually import QuickBooks Online active vendors into IntelliTrack. The vendors will populate the Vendor list found at the Manage Vendors page.

Important: The fields in the vendor record in QuickBooks Online are mapped to specific fields in the vendor record in IntelliTrack. For best results, we recommend that you check the vendor setup in QuickBooks Online before importing your vendors into IntelliTrack; see "Customer and Vendor Setup" for more information. This is most important for the address importing.

Synchronize Customers

Click to manually import QuickBooks Online active customers into IntelliTrack. The active customers will populate the Customer list at the Manage Customers page.

Important: The fields in the customer record in QuickBooks Online are mapped to specific fields in the customer record in IntelliTrack. For best results, we recommend that you check the customer setup in QuickBooks Online before importing your customers into IntelliTrack; see "Customer and Vendor Setup" for more information. This is most important for the address importing.

Synchronize Receiving Orders

Click to manually synchronize QuickBooks Online Purchase Orders and IntelliTrack Receiving Orders.

Synchronize Picking Orders

Click to manually synchronize QuickBooks Online Sales Estimates and IntelliTrack Picking Orders.
